The Company
With 37 farms and approximately 500 employees, Pace Farm is the largest egg producer and distributor in Australia. Since 1968, Pace Farm has been serving “the Enjoyable Egg” and is recognised for its consistently high quality and freshness. The Challenge
The manufacturing industry has almost the worst trade payment terms of any industry sector in Australia (beaten only by the mining industry), with an average trade payment period of 60 days.
Like other manufacturers, Pace Farm was losing money through lost or misfiled proof of delivery dockets. When a client queried an invoice or refused payment, the Accounts Receivable department faced the challenge of sorting through the 16000 -18000 paper based proof of delivery documents that arrived each month. Legally a client can withhold payment until the supplier produces a signed copy of the proof of delivery, so if the document was misfiled or lost, payment would often be delayed.
To reduce its trade payment days, Pace Farm needed a system that would ensure proof of deliveries could not be misfiled or lost, and that would enable the Accounts Receivable Department to instantly retrieve the documents to guarantee immediate payment from customers. They also needed a system that enabled instant delivery of the signed proof of delivery to the customer.
Simply, Pace Farm was seeking an effective system for managing its large number of critical source documents to allow quick retrieval and checking, with email capabilities.
The Solution
Redmap’s solution was installed in the Pace Farm Accounts Receivable division and was up and running immediately. Proof of delivery dockets are scanned upon receipt. They can then be instantly retrieved by invoice number and emailed to customers putting an end to any drawn out queries.
Nearly 1,000 proof of delivery documents are scanned every day. These documents are usually a standard size but are often damaged, ripped or stained, due to the nature of the environment in which they are used. This can result in errors when scanning the information. Redmap has been customised to validate those errors with a minimum of human intervention. A program is set to run periodically to check information captured from the proof of delivery docket by pulling data from Pace Farm’s EMS system and validating it against the information in the Redmap repository. This information is reconciled every evening.
Time wasted searching for proof of delivery documents has been eliminated. The immediate benefit for Pace Farm is cash that can be put to other uses. Keeping cash in a business means less reliance on funding, lower costs and greater flexibility to invest in new opportunities and technologies. Ultimately the company is better able to deliver value to the shareholder. Other cost savings from improving this process include a reduction in labour costs associated with collection, storage and retrieval and lower storage costs where large numbers of proof of delivery documents are involved.
