The Company
1st Fleet is one of Australia’s largest privately owned logistic supply chain solution providers, with 13 sites nation wide, and approximately 3000 employees.
Established in New South Wales in 1988, the company has grown into a nation wide operator through strategic acquisitions and systematic business growth.
1st Fleet have expanded and improved their business to become a premium transport, warehousing and recruitment company. The business is run with the guiding tenet, to be the most reliable, efficient and cost effective service provider in the logistics field.
The Challenge
As a large transportation and logistics company, paperwork is an integral part of 1st Fleet’s business. The ability to effectively track and monitor its services is not only important at the business level but is central to providing excellent customer service, and to reinforce customer confidence and client relationships.
In the Express and Logistic divisions 6500 documents were being produced per week and the existing filing system was time consuming and frustrating for both staff and customers. Paper documents were stored and accessible for approximately 12 months, after which they were destroyed. Manually searching through this vast amount of paper was costly in both time and revenue, and meant they were not satisfactorily meeting customer needs.
Document security was also an issue. Every document generated represented revenue to the company, and its loss or misfiling would result in lost productivity and profits, and could potentially affect future revenue due to the loss of customer confidence.
They needed a solution that could address these issues and could fit easily into their business.
The Solution
Redmap was the natural choice for document management, as it could be integrated with the existing Sapphire implementation to form a complete management system for 1st Fleet’s Express and Logistic divisions. It provided the easy to use flexibility that was required to get the system up and running in a short period of time and was customisable to meet the companies specific information requirements. Redmap assisted with all areas of the implementation, including basic staff training. Full access to the Redmap Support team was available if any issues were encountered.
With the 4 million proof of delivery documents in their legacy filing system scanned into the system and new documents scanned as they are received, 1st Fleet have effectively created a paperless filing system.
To improve customer service, Redmap’s web module was implemented, enabling customers to access information related to their account via the Internet. This served to improve customer satisfaction, as they had immediate access to information, and also cut down on the amount of time staff spent addressing customer enquires.
